Data We Collect

What personal data we process

We process account and contact information such as your work email address, name, organisation, login credentials, and the details you submit through support or contact forms.

We process workspace and service-use information such as workspace names, membership roles, report pack requests, saved report packs, request history, and operational metadata linked to your use of the service.

We process billing information needed to manage subscriptions and credits, including plan selection, billing status, invoice history, Stripe customer and subscription identifiers, and payment-related metadata. We do not store full payment card details in the application.

We also process security and audit information such as timestamps, request paths, and IP addresses where available, so that we can protect the service, investigate misuse, and maintain a reliable audit trail.

Public Source Data

Published inspection reports and named inspectors

The service indexes and processes published inspection materials, including school inspection reports, report metadata, and lead inspector names that appear in those publicly available sources.

This source data is used to power inspector search, coverage checking, and report pack generation. Our source data comes from published inspection-report materials and related public source pages.

Where that source data includes personal data, such as a named lead inspector, we process it because we have a legitimate interest in operating a searchable, evidence-based service for school leaders and trust teams.

How We Use Data

Purposes and lawful bases

We use personal data to create and manage accounts, operate workspaces, generate and store report packs, provide support, manage subscriptions and invoices, maintain service security, and improve the service.

Our main lawful bases are:

  • Contract or steps taken before contract, for account creation, workspace access, subscriptions, billing, and service delivery.
  • Legal obligation, where we need to keep records for tax, accounting, compliance, or fraud-prevention purposes.
  • Legitimate interests, for support, service administration, security logging, public-source indexing, abuse prevention, and product operations, provided those interests are not overridden by your rights.

We do not rely on solely automated decision-making that produces legal or similarly significant effects about you. Report pack generation uses automated analysis of source material, but it is not used to make legally binding decisions about users.

Sharing

Who we share data with

We share personal data only where necessary to operate the service, comply with the law, or protect the service and its users.

This may include payment providers and billing processors, infrastructure and hosting providers, email delivery providers, professional advisers, and regulators or law-enforcement bodies where disclosure is required or justified.

Stripe is used for subscription checkout, billing portal services, and invoice handling. Payment information handled by Stripe is subject to Stripe’s own privacy information as well as this policy.

International Transfers

Transfers outside the UK

Some service providers may process personal data outside the UK. Where that happens, we use appropriate safeguards, such as adequacy regulations or approved contractual protections, to protect the data.

Retention

How long we keep personal data

We keep personal data for as long as it is needed for the purposes described in this policy, including service delivery, security, support, record-keeping, legal compliance, and dispute handling.

In practice, this usually means:

  • account, workspace, and report pack records are kept while the account or workspace remains active and for a reasonable period afterwards;
  • billing and invoice records are kept for as long as needed to meet tax, accounting, and legal obligations;
  • support enquiries and audit or security records are kept only for as long as operationally and legally necessary;
  • public inspection-report source data is kept while it remains relevant to the service.

Your data protection rights

Depending on the circumstances, you may have the right to ask for access to your personal data, correction of inaccurate data, erasure, restriction of processing, objection to processing based on legitimate interests, and data portability.
